About the Role:
We are seeking a highly skilled Program Coordinator to join our team. In this role, you will leverage your technical and functional abilities to engage students receiving tuition assistance from their employer and serve as a navigator throughout their educational journey. The ideal candidate will demonstrate strong project management capability, technical fluency, advanced office software skills, and a commitment to delivering high-quality outcomes in a dynamic environment.
Required Skills & Competencies:
- Technical Skills: Proficiency in student recruitment and retention strategies, with experience supporting employer-sponsored students through onboarding, persistence, and completion, including engagement at career fairs or tabling events.
- Analytical Skills: Ability to analyze student and program data, identify patterns in enrollment and retention, and provide data-driven recommendations to improve student outcomes and program performance.
- Communication Skills: Strong verbal and written communication skills, with the ability to articulate complex processes clearly to students, employers, and internal stakeholders.
- Problem-Solving: Ability to think critically, make decisions independently, and resolve complex student issues related to enrollment, financial aid, employer benefits, and billing in a timely manner.
- Teamwork: Proven experience in collaborating effectively with cross-functional teams, including enrollment, academic departments, and employer partners, to achieve shared student success goals.
- Project Management: Ability to manage multiple priorities, track student pipelines and program deliverables, meet deadlines, and operate effectively in a fast-paced environment.
Preferred Additional Skills:
- Familiarity with Microsoft Office Suite, Canvas, Salesforce, and Financial Aid systems.
- Experience in higher education, workforce development, or employer-sponsored education programs.
- Ability to assemble data-driven reports, including extracting, analyzing, and formatting data for leadership and partner review.
Key Responsibilities:

All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.
- Use Ivy Tech systems to conduct outreach to students for recruitment and retention efforts, with a focus on employer-sponsored populations.
- Apply advanced problem-solving skills to troubleshoot and resolve enrollment, financial aid, employer benefit, and billing issues for students, ensuring minimal disruption to persistence.
- Collaborate effectively with cross-functional teams, utilizing strong communication and relationship-building skills to ensure smooth workflow and coordinated student support.
- Analyze student enrollment, retention, and engagement data to identify trends and make actionable recommendations for program improvement and student success outcomes.
- Maintain an understanding of industry trends in employer-sponsored education and workforce development, applying relevant skills to enhance program competitiveness and effectiveness.
- Coordinate student engagement efforts, including participation in recruitment events, orientations, and career fairs, to support pipeline growth and program awareness.
- Develop and maintain organized tracking systems for student progress, employer requirements, and program milestones to ensure accuracy and accountability.
- Generate and format reports using institutional systems to support leadership decision-making and partner communications.
Education & Experience:
- Bachelor’s degree required
- Three (3) years of experience in customer service, higher education, or relationship management
