The Educational Technology & iCAP Coordinator plays a dual role in supporting student success through two interconnected areas of responsibility: coordinating the Indiana Course Access Portal (iCAP) dual enrollment program for high school students, and providing educational technology support for faculty and students across the Madison campus. This position serves as a primary point of contact for high school partners and dual enrollment students in the iCAP program and聽campus faculty seeking instructional technology assistance, and works collaboratively with academic, enrollment, and administrative teams to advance the Madison campus K-14 and digital learning initiatives.

Major Responsibilities

iCAP Program Coordination

  • Serve as the primary liaison between Ivy Tech and high school partners, communicating regularly with students, parents, mentors, guidance counselors, and school administrators regarding dual enrollment opportunities, course requirements, and student progress.
  • Manage all aspects of the iCAP student lifecycle, including prerequisite verification, application support, placement testing coordination, course enrollment, orientation facilitation, and grade reporting across terms.
  • Host and facilitate iCAP student and mentor orientations each term; deliver IvyLearn platform training and distribute technology resources to participants.
  • Request and manage mentor guest accounts in IvyLearn; link mentors to enrolled students and communicate expectations, deadlines, and system access.
  • Provide daily communication and proactive outreach to students, high school mentors, and instructors regarding academic progress, concerns, and at-risk intervention.
  • Generate and distribute weekly grade reports; monitor academic progress and implement intervention strategies for students at risk of not succeeding.
  • Coordinate course-specific communications for specialized courses.
  • Maintain records and databases to track iCAP agreements, student registrations, faculty/mentor involvement, and program outcomes; prepare semester reports and program evaluations.
  • Support K-14 event planning and outreach activities in collaboration with the admissions and enrollment services teams; assist with Knowledge Assessment testing across partner high schools.
  • Develop and distribute promotional and informational materials for students, parents, and high school partners, including flyers, guides, and support resources.
  • Represent the campus on statewide initiatives committees; stay current on relevant policy and compliance standards.

Educational Technology Support

  • Provide ongoing IvyLearn and educational technology support for campus faculty and students, responding to help desk tickets and resolving issues in a timely manner.
  • Facilitate New Online Student Orientation (NOSA) each 8-week term; participate in in-person and virtual orientations for traditional students.
  • Present IvyLearn and EdTech tools during program orientations, including nursing and healthcare academy onboarding sessions.
  • Conduct IvyLearn training sessions for campus faculty on current and newly adopted educational technology tools.
  • Create and maintain student and faculty support guides, tutorials, and reference materials for IvyLearn and other academic platforms.
  • Complete readiness checks for IvyOnline courses to ensure quality and compliance prior to each term.
  • Manage the Student Success GPS course creation for high school students and updates in coordination with the K-14 department.
  • Support campus digital accessibility initiatives to ensure compliance with institutional and regulatory standards.

Collaboration & Administrative Support

  • Collaborate with the Campus Chancellor, Vice Chancellor of Enrollment Services, Vice Chancellor of Academic Affairs, Program Chairs, Assistant Director of Admissions, and other campus leaders on secondary and technology initiatives.
  • Consult with academic schools and support staff to standardize procedures for the iCAP program.

Minimum Qualifications
  • Bachelor's degree required
  • Minimum of 2 years of related work experience
  • Experience with learning management systems (Canvas preferred) and educational technology tools
  • Strong written and verbal communication skills; ability to communicate effectively with diverse audiences, including students, parents, faculty, and school administrators
  • Demonstrated organizational skills with the ability to manage multiple priorities and meet deadlines across concurrent 8-week terms
  • Must possess a willingness to occasionally travel to partner high schools and area events
